An AI WhatsApp receptionist for clinics
The problem
What clinics lose to an unread inbox
The after-hours enquiries never get answered
Most patient messages arrive outside clinic hours. By the time reception opens and works through the backlog, the patient has already booked somewhere that replied that evening.
Reception answers the same six questions all day
Opening hours, parking, whether you take a given insurer, how much a cleaning costs, whether you see children. Every one of those is already written down somewhere, and every one still interrupts someone at the desk.
A real emergency looks the same as a price question
In a list of unread WhatsApp chats, a patient in pain and a patient asking about whitening are indistinguishable until someone opens both.

Answering now
My tooth has been aching since last night. Can I be seen today?
11:02We keep two same-day slots for pain: 14:15 and 17:40. Which one works? I'll pass you to reception to confirm.
11:02Urgent case flagged and handed to reception
What changes
What it looks like once it is running
- Every patient gets a reply in seconds, including nights and weekends
- Treatment prices, insurers and hours answered from your own knowledge base, never invented
- Painful or urgent cases scored high and escalated to a human immediately
- Reception starts the day with a triaged inbox instead of forty unread chats
Questions
Clinics, answered
Will the AI give patients medical advice?
No. It answers only from the content you add: services, pricing, hours, policies and practical questions. Anything clinical is escalated to a human rather than answered, and you can tell it explicitly what it must never respond to.
Can it book appointments into our calendar?
It captures the intent, the preferred time and the reason for the visit, then hands the conversation to your reception team to confirm in whatever system you already use. It does not write into your practice management software.
Do we need a new phone number?
No. You connect the WhatsApp number your patients already message by scanning a QR code, the same way you would link WhatsApp Web. Nothing changes on the patient's side.
How does it know our prices?
You add them to the knowledge base as plain text. When you change a price, you edit that entry and the AI uses the new figure on the next message. There is no retraining step and no waiting period.
